This Privacy Policy explains how Integrated Point Of Sale (Pty) Ltd, trading as IPOS Systems, handles information across our website, cloud platform, POS services and mobile applications.
1. Who we are
Integrated Point Of Sale (Pty) Ltd, trading as IPOS Systems (“IPOS”, “we”, “us” or “our”), provides point-of-sale, stock, restaurant, loyalty, e-commerce, delivery, repair, manufacturing, reporting and related business technology services.
2. Scope
This policy applies to our public website, browser/cloud services, Android and iOS applications and supported modules including retail POS, restaurant POS, customer/debtor management, loyalty, e-commerce, delivery, repair/job cards, stock, warehouse, serial tracking, quotations, invoicing, manufacturing, reporting and multi-branch features.
3. Information we may process
Depending on the functions used, information may include account and user details, business details, customer and loyalty information, orders and transaction records, stock and supplier information, debtor/account information, delivery addresses, repair/job-card information, serial/IMEI and warranty information, device/app information and technical logs.
4. Android and mobile permissions
Where required by an enabled feature, an IPOS app may request access to the camera for barcode/QR scanning or image capture, location for delivery/mapping functions, selected files/photos for uploads or exports and notifications for operational or customer messages. Device permissions can be managed through the device settings.
5. How information is used
Information may be used to authenticate users, operate business workflows, process sales and orders, maintain stock and accounts, provide delivery and repair functions, support loyalty/e-commerce, communicate service status, produce reports, provide support, secure the service, maintain backups and comply with applicable legal duties.
6. Customer-controlled business information
Businesses using IPOS may process information relating to their own customers, employees, suppliers and transactions. The relevant business generally determines why that information is processed, while IPOS processes it to provide and support the configured services.
7. Sharing and service providers
IPOS does not sell personal information as a product. Information may be disclosed to authorised infrastructure, hosting, payment, mapping, messaging, email, analytics, security, backup and integration providers where reasonably required to deliver the service, or where required by law.
8. Payments
Payment functions may involve third-party payment processors or terminal providers. IPOS may transmit or receive transaction-related information required for the integration, while payment-card handling may also be governed by the provider’s own terms and security controls.
9. Location and mapping
Location or address information may be used for configured delivery areas, distance calculations, delivery charges, route planning or other mapping functions.
10. Communications
Supported WhatsApp, SMS, email or notification functionality may be used for operational communication such as queue, order, repair, account, loyalty, collection or delivery updates. The business using IPOS is responsible for its communications with its customers and for any consent or lawful basis that may be required.
11. Security
We use reasonable technical and organisational safeguards including authenticated access, role-based permissions, controlled user access, secure communications, infrastructure security, backups and operational controls. No internet-connected system can guarantee absolute security.
12. Retention
Information is retained for only as long as reasonably necessary for service operation, accounting, tax, warranty, audit, fraud prevention, security, backup, dispute resolution, contract obligations and applicable legal requirements. Retention periods may differ by information type.
13. Account and data deletion
Eligible users may request deletion through our Account & Data Deletion page or by emailing support@integratedpos.co.za. Information that must lawfully or legitimately remain—such as certain invoices, tax records, warranty history, audit records or fraud-prevention information—may be retained for the applicable purpose.
14. POPIA and privacy rights
Where applicable, personal information is processed in accordance with South Africa’s Protection of Personal Information Act (POPIA). Depending on the law and context, data subjects may have rights to request access, correction, deletion or restriction, to object to certain processing and to withdraw consent where consent is relied upon.
15. International processing
Some infrastructure or service providers may process or store information outside South Africa. Where required, appropriate safeguards are used for cross-border processing.
16. Children
Our core POS and business-management services are designed for businesses and their authorised users and are not specifically directed to young children.
17. Third-party services and mobile SDKs
IPOS applications may integrate with payment, mapping, messaging, analytics, crash-reporting, cloud, hardware and other service providers. The final Google Play Data Safety declaration and privacy disclosures must match the actual SDKs and permissions used in the released application.
18. Changes
We may update this policy when our products, service providers, processing activities or legal obligations change. The current version will be published on integratedpos.co.za.
